Activity log and data export

Review who changed what, understand retention, and export notes, areas, tasks and photos as a zip.

SCAD Maps keeps a running record of what happens on the map, and gives administrators two ways to use it: the Activity view for looking at what changed and who did it, and Export for taking the data out as a spreadsheet, optionally with all attached photos. Both are in the dashboard under Operations; see The admin dashboard for the tour.

The activity log#

Open Operations and choose Activity. Every note, area, task and incident that is created, changed, deleted, archived or restored leaves one line in a single, chronological list, newest first. Administrators and User Admins can open it.

Summary cards#

At the top of the view, four cards summarise the chosen period: Notes, Zones, Tasks and Incidents.

  • The Notes card shows how the count compares with the previous period.
  • The Tasks card shows how many are overdue. The Incidents card shows how many are still open and how many of those are critical.
  • A line underneath gives the number of active users, the average notes per day and the busiest day.
  • Choosing a card filters the list to that type. Choose it again to clear.

The period is set with the selector at the top, from Past hour up to Past 30 days, which is the default, or All. Use Refresh to reload.

Filter the list#

FilterChoices
TypeAll, Notes, Zones, Tasks or Incidents.
ActionAll, Created, Updated, Deleted, Restored, Archived or Unarchived.
From and ToAn explicit date range. It replaces the period selector for the list. Both days are included in full.
RoleOnly changes to items that belong to one role. Tasks match on the creator's role or the roles they are assigned to.

Choose Clear Filters to go back to everything. The search box above the list narrows the rows you have already loaded by any text, such as a person's name. The list loads in pages, so use Load more at the bottom to go further back.

Read a row#

Each row shows when it happened (hover for the exact time), who did it, the type, the action, a short summary, and details. The details cell shows what changed, so you can see for example that a task moved from Open to In progress or that a note text was edited.

  • A row that has a place on the map is clickable. It opens a small map showing the note marker or the area. This works for deleted items too, because the row keeps a snapshot.
  • Deleted notes carry a Restore button, which brings the note back for everybody. Restoring is recorded as its own line.

Export data#

Choose Export under Operations to download an Excel file. Exporting is limited to full Admin accounts, because it reads everything on the instance regardless of role restrictions. A User Admin cannot use it.

  1. Tick the data you want: Notes, Zones, Tasks, People and Disciplines. At least one is required.
  2. Optionally tick Include attachments to receive a ZIP that holds the spreadsheet and the photos.
  3. Optionally set a From and To date to limit notes, zones and tasks to the days you need.
  4. Choose Download Export. The file is streamed as it is built, so a large event starts downloading straight away.

What is in the spreadsheet#

SheetContents
SummaryAlways the first tab: what was exported, the date range, and the number of rows and photos.
NotesAuthor, text, coordinates, whether guests could see it, archived or not, created and updated times, and attachment file names.
ZonesThe areas you drew, with their type, name, severity, note, geofence and capacity settings, creator and outline.
TasksTasks and incidents with status, priority, category, area, disciplines, people involved, title, description, creator, assignee, coordinates, due and resolved times, response deadline, acknowledgement, escalation level and how often the item was reopened.
Task HistoryOne line per change to each exported task, with time, person, event and what changed. This is the audit trail for incident reports.
PeopleEvery account with its access level, status, roles and whether it is a guest.
DisciplinesEvery role with its colour and number of members.

Only the sheets you ticked are included. The date range applies to notes, zones and tasks by the day they were created. People and Disciplines are reference lists and are always exported in full.

Photos#

With attachments included, the download is a ZIP. The spreadsheet sits at the top, and the files are in folders under photos/, one for each note or task, so the file names in the Attachments column match the files on disk.

Limits#

  • Two years. A single export covers at most two years of notes, zones and tasks. A wider range is shortened to the two most recent years, and the Summary sheet says so. Leaving the dates empty exports the last two years.
  • 2,000 files. A ZIP holds at most 2,000 attachments. If there are more, the extra files are skipped, the spreadsheet still lists all of them, and the Summary sheet notes that the count was capped. Narrow the date range and run the export more than once to get the rest.
