monday.com
Two-way sync between SCAD Maps tasks and monday.com boards, with per-group boards, comments, files and drift checks.
Many production teams plan in monday.com and work in the field. The monday.com integration lets both sides stay true: tasks and incidents created on the map appear as items on a monday board, and changes made on the board come back to the map. Nobody has to copy anything by hand, and field crews never need a monday licence.
What is synced#
| In SCAD Maps | On monday | Direction |
|---|---|---|
| Tasks and incidents | One item per task | Both ways |
| Status and priority | Status columns. The labels are created on the board if they are missing | Both ways |
| Assignees | A people column | Both ways, including several people |
| Due date | A date column | Both ways |
| Location | A location column | Both ways. Clearing it on monday moves the task to the unplaced list |
| Title, description, reporter, type | Item name and matching columns | SCAD Maps to monday |
| Visibility for groups | A "Visible for" dropdown whose options are your role names | Both ways |
| Task chat | Updates on the item | Both ways, with a choice of what is mirrored |
| Photos and files | A files column | SCAD Maps to monday |
| Notes | Optional separate board | SCAD Maps to monday |
Archiving or deleting a task on either side is carried over. If someone deletes an item on monday, the task is archived in SCAD Maps rather than lost, and restoring the item on monday brings the task back. A task that has been deleted on monday is never recreated by a late update.
One board per group#
You can have a general board for everything and one board for each custom role, such as Security or Cleaning. A task goes to the board of the group it belongs to, falls back to the general board if there is none, and moves between boards when its group changes. Each group can therefore have its own monday view, columns and automations, and its own dashboard.
Monday's own per-board rules stay in monday. SCAD Maps only writes to columns you have mapped to it.
Set it up#
The Integrations view walks through four steps. Everything except connecting requires no monday knowledge; the defaults create a working setup.
- Connection. An Admin pastes a monday API token (in monday: your avatar, Developers, My access tokens) or, where the instance offers it, chooses Connect with monday to authorise through monday. Use Test connection afterwards. The token is stored encrypted and only ever shown masked.
- Boards. Choose the monday workspace and select Set up monday boards. SCAD Maps creates a general board and a board for every group, with all columns, status labels and groups ready: Open, Done and Reports. Choose what to create lets you leave out groups, add a Notes board, or add an Intake group for a public monday form. Running it again is safe: it repairs boards that were deleted and adds boards for new groups without duplicating anything.
- Two-way sync. One switch turns on the monday-to-SCAD-Maps direction for all boards. Off means SCAD Maps only pushes to monday.
- Sync now. Pushes anything that is not on monday yet, imports new monday items, applies recent monday edits and retries anything that failed. It reports what it did, or that everything was already in sync.
Work from monday#
With two-way sync on, edits on monday reach the map within moments, and a new item on a board becomes a task on the map.
- Items with a location become tasks on the map straight away.
- Items without a location collect in the unplaced list on the map. It appears as a small monday-branded pill with the number of waiting items. Open it, choose Place next to an item and tap the map. The location is written back to the monday item. A link on each row opens the item on monday.
- Import new items now pulls in the items of one monday group on demand, and you can limit the automatic import to a single group of the board.
Advanced settings#
Under Advanced settings every board can be tuned on its own.
| Setting | What it does |
|---|---|
| Sync enabled | Pauses or resumes syncing for one board without removing it. |
| Column table | Which SCAD Maps field goes into which monday column. Optional extras include Area (the smallest area containing the task), minutes to acknowledge, minutes to resolve, and whether the response deadline was met. |
| Filters | Only sync tasks from a minimum priority upward, only incidents, or only tasks that have a location. |
| Post status changes as updates | Adds a monday update on the item every time the status changes, so the item keeps a readable history. |
| Chat mirror | Off, Tagged messages only (messages that reference the task) or Every task-chat message. |
| Import group | Restricts the inbound import to one monday group. |
| Backfill existing | Pushes everything already in SCAD Maps that matches the board's filter. This can create many items. |
| Remove board | Stops syncing to the board. Items already linked stay on monday but no longer receive changes. |
User pairing#
People are matched between the two systems by email address. When someone uses a different address on monday, add a manual pairing under User pairing. It is checked before the email match, in both directions, so assignments land on the right person.
Live dashboard#
Every board can produce a live dashboard link: a read-only view of that group's open tasks and activity that needs no login. Paste it into an Embed Everything widget on a monday dashboard for a live per-group view next to your charts. Links have a lifetime of 30, 90, 180 or 365 days, can be listed with when they were last used, and can be revoked immediately. Disconnecting monday revokes all of them.
A board also receives a daily item in its Reports group with that day's numbers (opened, closed, open now, overdue, critical open and median time to acknowledge), which makes trend charts on monday possible without extra work.
Keeping an eye on it#
The health panel shows how many items are linked, waiting, in flight and failed. A failed change is retried several times before it is set aside. From there an admin can Retry all failed, Discard all, or run a Dry-run preview that shows what a new item would look like without creating anything.
Each board also shows whether monday is actually sending changes back: live, silent (registered but nothing has arrived for a long while) or not registered. SCAD Maps re-registers silent connections by itself, and Sync now does it immediately. A monday rate limit pauses syncing for a short cool-down and then resumes; nothing is lost in the meantime.
Permissions#
- Admins can connect and disconnect, create boards, switch two-way sync, run a manual sync, import, backfill and manage live dashboard links.
- User Admins can view the status, edit board mappings, pair users, retry failed jobs and run the dry-run preview.
- Nobody else sees the integration.
